How a UK Top 200 Law Firm Used cleanDocs as part of their GDPR Compliance Strategy

Seddons, a Top 200 law practice based in London’s West End, was ahead of the curve regarding General Data Protection Regulation (GDPR) preparation. In early 2017 they launched an initiative to ensure the firm would be compliant before the May 2018 deadline and already had an arsenal of software products installed that assist with efficiency and productivity.

Recognising that data breaches where users have accidentally mistyped email addresses were a risk to the firm, they installed email recipient domain name checking software. But the cost of having such a comprehensive arsenal was working with multiple technology partners. So, when the licence for the old product was about to expire, they saw an opportunity to make their email security strategy even stronger by incorporating metadata cleaning.

Seddons wanted an all-encompassing solution that would ensure emails were sent to the right person and attachments were cleaned of metadata. Requirements included stable integration with Microsoft Outlook and as few prompts as possible, so users could work uninterrupted. Their search led them to cleanDocs, as it’s the only application on the market to combine recipient checking and metadata cleaning on one screen. Seeing an opportunity to consolidate technology vendors since they were using pdfDocs from DocsCorp for PDF editing and creation, they ran a pilot of cleanDocs to see if it would pass the final test: do the lawyers like it?

The cleanDocs pilot was a success. Users like that the application integrates tightly with Outlook and offers more advanced features such as PDF conversion and file zipping. cleanDocs handles domain name checking better than the incumbent software and provides an extra layer of security for the firm since it removes metadata from attachments prior to sending emails.
